HR & Admin Assistant

Location: Kota Kemuning, Shah Alam

Key Responsibilities:

  • To handle all incoming calls, take accurate message and transfer to relevant personnel or department effectively
  • Meet and greet visitors at reception and inform the relevant internal parties of visitor arrivals.
  • To informed supplier on cheque collections and recording of cheque collections
  • Ensure that the reception area is kept in a presentable condition and those newspaper, magazines and brochures are available to visitors is adequate and properly arranged.
  • Monitoring booking rooms for meeting & training and welcome board.
  • To handle key phone system (example to set voice mail, change of extension name and etc.)
  • Organize and distribute security passes to customer, suppliers and visitors.
  • Organize and maintain updates of daily dispatch record and to generates relevant document.
  • Liaise with courier service on outgoing and incoming mails, packages and process courier invoices.
  • To distribute and open all incoming mails unless is mark Private and Confidential for the specified person.
  • To assist on foreign workers matters
  • To support onboarding and offboarding processes
  • To assist on HR matters including staff attendance, overtime calculations, staff welfare and etc.
  • To assist on recruitment interview arrangements and other in-house training arrangements
  • To manage on company fuel card, office maintenance, corporate telco lines, security services, etc.
  • To set up thumbprint and access door for newcomers
  • To ensure cleanliness at reception area including all meeting rooms
  • To handle confidential information with discretion
  • To perform other tasks as assigned from time to time

Requirements:

  • Diploma or higher in Human Resources or Business Administration
  • 1 year of experience in HR or Administrative roles preferred
  • Proficiency in MS Office (Word, Excel, PowerPoint) 
  • Able to multitask and well organized
  • Attention to details and pro-active
  • Team oriented mindset
  • Ability to maintain confidentiality 
  • Pleasant communication and interpersonal skills 
  • Fresh graduates are encouraged to apply
